Daily work

The day starts in the inbox and ends there too

Mail sorts and labels itself, the important ones rise to the top, and the repeats arrive with a draft reply waiting.

Who this is for Owners and managers everything passes through: orders, suppliers, invoices, questions and a little junk.

The problem

An inbox that never clears

Every message gets opened, read and judged from scratch, even when it is the same as yesterday's. The sorting happens in your head, so the one that mattered slides down between newsletters, and the same question gets answered from scratch for the third time this week.

You will know it by

  • The morning starts with half an hour of sorting rather than with work.
  • You find the important ones with search, because you do not know where they went.
  • The same replies get written again every week.
  • Something went unanswered, and you heard about it from the customer.

Possible solutions

Not every road leads to me

  • Filters and labels by hand

Gmail filters or Outlook rules, by sender and keyword.

Where it stands Free, and it often covers half the problem. The limit is that a rule does not understand the message, only the words in it.

  • A different mail app

Apps with a priority inbox, snoozing and canned replies.

Where it stands Good for order, but the judgement about what matters in your business still stays with you.

  • A person who takes the inbox

An assistant who sorts and answers first.

Where it stands The right answer when the work needs judgement rather than sorting. It costs every month and needs training.

  • Sorting and drafts by what the message says

Messages judged by meaning rather than keywords, with a draft in your own tone waiting on the repeats.

Where it stands This is the one I build. Worth it when the mail is varied enough that rules have stopped coping.

What I set up

Mail is sorted and labelled on arrival by what it actually says: an order, an invoice, a price question, a supplier, nothing that matters. The ones that matter rise to the top. The ones that repeat get a draft reply waiting, in your tone and with your terms in it. It happens inside the Gmail or Outlook you already use, with no new app to learn.

How it goes in

  1. We read a month of your mail and write down the groups it really falls into.
  2. We agree what rises, what gets labelled and what is left alone.
  3. Drafts are prepared only for the groups whose reply really does repeat.
  4. We watch it for a week: what landed in the wrong place, what needs correcting.

The limit You read and send the drafts yourself. Sending without a human look is not on offer: one bad reply costs more than the minutes it saves.

The work In place within days. Most of the time goes not on the wiring but on reading a month of your mail, without which the sorting would be guesswork.

The prices on this site are final.

What it brings

The morning starts with what matters

The inbox opens already sorted, so the first decision of the day is about work rather than filing.

The repeat replies are already written

What is left is to read it, fix a sentence and send.

Nothing drops

A message you have not answered stays visible instead of sinking under the new ones.

How you check it yourself

For a week, note how many times a day you open the inbox only to sort it, and how many messages are still unanswered by evening. Repeat a month later. The second number is the one that should fall.

Is this your job?

Tell me how this runs at your place now. On a 30 minute call I will say whether it is worth automating, where I would start and what it needs.

Common questions

Does somebody read my mail?

During setup we look at samples together, and only as far as you allow. Where the mail is processed afterwards, that is named before anything starts: which tool, in which country, under which data processing agreement.

Do I have to change my mail app?

No. It works where your mail already is, in Gmail or Outlook. The AI writing features in those depend on your plan and may cost extra, and that is said before we start.
