The problem

The same customer questions

Most of what reaches you already has an answer: what it costs, whether you work Saturdays, whether you travel, how long it takes, how a return works. The answer is known, and it still gets typed by hand every time. A question that arrives at night waits until morning, and by morning the person has often asked somebody else.

You will know it by

  • The same five questions make up most of your messages.
  • You copy your answers out of old emails or a note on your phone.
  • Messages that arrive in the evening or at the weekend get a late reply.
  • Customers write in more than one language, and you are fluent in one of them.

  • A proper FAQ page

    Write the common questions and answers onto a page people can find.

    Where it stands The cheapest step and often enough on its own. The limit is that people write rather than read, and they ask in their own words.

  • Saved replies

    Templates in Gmail or Outlook, and saved replies on the phone, so nothing is typed twice.

    Where it stands Works today and costs nothing. It still needs a person to open the message and pick the template.

  • An off-the-shelf chatbot

    A hosted bot you drop into the site that learns from the site's text.

    Where it stands A fast start if your site already says everything the bot needs. When the prices live in a spreadsheet and the terms in a PDF, it cannot see them.

  • A chat window wired to your own documents

    The same chat window, answering from your price list, your terms and your FAQ, with a clear handover to a person.

    Where it stands This is the one I build. Worth it when the questions keep coming and the answers depend on documents only you have.

What I set up

A chat window on your site that answers only from what you give it: the price list, the service descriptions, the terms, the FAQ. It replies in the languages your customers write in. When a question goes past the documents it was given, it does not guess: it takes a contact detail and passes it to you.

How it goes in

  1. We collect what is already written: the price list, the terms, the FAQ, your most repeated old replies.
  2. We agree what it never answers on its own: bespoke pricing, deadlines, complaints.
  3. I put the window on the site and test it against your own past questions.
  4. It goes live, and a week later we read what it did not know and add those answers.

The limit It answers only from the documents it is given, so those need keeping up to date. Change your prices without changing the document and it will keep quoting the old ones.

The work One of the quickest things to put in, when the documents already exist. The longest part is not the install, it is agreeing what it must not answer.

Common questions

Will it make answers up?

It is pointed at your documents and held to answering from them, and what it does not know it hands to a person. Before it goes live it is tested against your own past questions, so you see how it really answers.

Will the customer know it is not a person?

Yes, and it says so at the start of the conversation. There is nothing to gain by hiding it, and since August 2026 the EU AI Act requires it.
