What I set up
An enquiry that arrives by email or through a form becomes a draft quote: the scope in plain words, the assumptions, what is not included, a price from your own rate card and your standard terms. The draft is built from your past quotes, so it sounds like you rather than like a template. You read it, correct it and send it. What went out and when to chase it stays in one list.
How it goes in
- We gather the rate card and a few of your best past quotes.
- We write down the assumptions you always state and the things never included.
- The draft is tested on old enquiries and compared with what you actually sent then.
- We add the list that reminds you which quotes are still waiting.
The limit You approve the price. The draft is never sent to the customer on its own, because a price is a commitment rather than a piece of text.
The work It depends on whether the rates are written down. If they live only in your head, the first job is writing them down, and that is worth doing on its own.
